File Keepers uses Windows NT-based file servers with quad Intel Xenon processors and Raid 5 disk storage array systems. Our custom-designed software allows only authorized users to access accounts and track the specific needs of each client. We also use the latest in bar code technology to keep track of every item, at all times.
We can track your boxes or content in any of the following ways:
- customer code (account number)
- department and/or cost center number
- customer-assigned box number (up to 12 characters)
- customer-assigned box descriptions (3 lines of up to 40 characters each)
- customer-assigned content descriptions (individual file or policy listings - up to 99 lines of 40 characters each)
- receipt date
- destruction date
- bar code (container) number
- box type (size)
- media type

File Keepers adheres to stringent industry standards. A member of PRISM, File Keepers consistently modifies its Document Security Process to ensure privacy and physical security and our compliance with federal regulations (i.e., Gramm-Leach-Bliley Act, Title V, Sarbanes-Oxley, HIPAA Act of 1996).
All employees receive pre-employment screenings, including drug testing and are bonded with an average tenure of eight years. All staff participates in ongoing training and safety programs.
Our facilities are secure, state-of-the-art record centers with industry and regulatory mandated fire suppression systems, and seismically designed shelving and intrusion alarms. Strict ID badge/security access procedures are in place.
Our secure fleet of vehicles are equipped with GPS tracking for remote monitoring and all drivers use load validation scanners and printers, and participate with management in frequent audits of security procedures.
In today's business climate, a large responsibility rests on FILE KEEPERS' shoulders. 'Privacy', 'Security' and 'Confidentiality' have become key issues within our industry and are vital to FILE KEEPERS' business operation.
