All File Keepers Records Centers are built with steel and reinforced concrete block construction and use high-density (13/16 heavy gauge steel) racking/catwalk archiving systems.
Each facility is secured with both 24-hour security guards and intrusion alarms, and meets stringent Los Angeles County fire codes. We use multiple Class A fire protection systems, which are monitored 24 hours a day, 7 days a week, in each location. Because this is Southern California, our Record Centers are also designed to withstand earthquake damage, and each has received the top "Seismic Zone 4" UBC earthquake rating. All File Keepers facilities have regularly updated, disaster-recovery plans.
Our facilities are also protected by exterior cameras, exterior keypad entry, offsite central monitoring with law enforcement dispatch, visitor badge procedures, and escorted visitor procedures.
Access to your account information, and to your storage inventory, is strictly limited to those users identified by you on your Confidential User Authorization List. File Keepers CAN NOT, WILL NOT, DOES NOT release any information or files to anyone not on that list.
Secured Storage and Climate-Controlled areas are also available for records that may required additional special handling.

Each file or container of files is indexed and assigned an individual, identifying bar code and entered into our computer system. The index contains the file or box number, a destruction date (if desired), and an optional description of the file's contents. Most of our clients choose to create the file-by-file index themselves as they pack their storage containers, but File Keepers can create the index on request.

No. Our computerized bar code tracking system allows us to use random carton storage. In other words, the bar code tells us where that individual box is located within the Record Center.
Random carton storage saves you money. We bill you for only the space actually used, rather than assigning an area of the storage center to your account and keeping space open "near you" to accommodate later additions.

No. We don't require that you use our boxes, but we DO require that your boxes are "Records Retention Boxes" for retrieval and handling purposes. Specifically, this means that boxes:
- MUST have handles to allow the box to be picked up and carried easily. The "cut-out" type of handles are fine.
- MUST have a lid - to keep everything in the box!
- MUST be double-walled on at least two of the upright sides to prevent the box from crushing if another box is placed on top.
Most clients choose to use File Keepers' boxes because of the durability and cost effectiveness. Additionally, they are made from recycled materials and can accommodate virtually every type of business record imaginable.

If you're a new client, we can schedule a pick-up as soon as we've received your completed Service Agreement, with Price List, and your Confidential User Authorization List. These forms are needed to open your account. When we enter your information into our computer and open your account, we'll send you Bar Code labels to put on your boxes and New Inventory forms for you to use in indexing your records. If you want File Keepers to create the index, let us know in a phone call. After that, simply call us with a count of your boxes, and we'll be there within 3 business days.
If you're already a client, we'll be there within 3 days - tops!

Yes, that's called "interfiling," and it will actually save you money, since adding to a box already in place eliminates the need for another container. If you think you may need to add files to those already in storage, be sure to leave space in the original box when you first send it to storage. Also be sure the new file is labeled so the necessary indexing information will match with companion files.

We can get your files to you 24 hours a day, 7 days a week in an emergency. For regular course-of-business RUSH retrievals, we can have your files to you in 2 to 3 hours. When your need is less urgent, we deliver a half day later, or the next day. You decide when you need it, and we'll get it to you.

Our pricing is tailored to the needs of each account and is volume discounted. In general, we provide records storage for as little as $50 a month. Considering the high cost of rent and the inconvenience of self storage, this amounts to far less than you are probably already paying to store your records, and we provide all services related to storing these records. Since we are in Southern California and do not experience the high fluctuation in humidity and temperature that other parts of the country may experience, the general areas of our Records centers are not climate-controlled, but kept at moderate and comfortable working temperatures for our employees. However, we do have climate-controlled storage areas available for more sensitive records, such as audio and video tape, film, and magnetic media (back-up disks/tapes/cartridges/film).

Document Imaging is the process of placing an "image/picture" of your records on to optical disk via a scanner, making it electronically accessible.
It would be a good alternative if:
- There is a high level of retrieval activity. (Frequent reference, Need for rapid retrieval.)
- Documents are retrieved by multiple users.
- Documents are critical to workflow. (Completion of tasks depend of availability of documents.)
- There is significant file maintenance. (Time consuming filing and refiling, misfiling, tracking of documents removed from files.)
- There is need for revision control.
- Space consumption is a concern.
For most clients, document imaging is a much more expensive alternative. You can store a box of records for 20-30 years for what it costs to scan it. If the retention period on that box is only 7 years, 13-23 years worth of dollars spent have been wasted. Imaging is really only viable if many users are involved with the documents and will access them often, or if it's volume of records is so great that it has a problem effectively managing them.

An invoice detailing retention and activity is sent during the first week of every month via U.S. mail. Retention fees are billed in advance and activity fees are billed in arrears. Special announcements or promotions are occasionally sent with the invoice. File Keepers can run your invoice by department, providing the inventory is sent in and set up by department.
Payment For Records Retention And Service: Business record retention charges by File Keepers shall be on a monthly basis, payable in advance, unless otherwise agreed to in writing by File Keepers. Handling and other File Control Center services shall be on an "as performed" basis at the rates in effect at the time that such services are performed by File Keepers for you. All initial set-up charges, first month record retention, labor and other special charges will be due and payable immediately upon invoicing.
Payment Terms: Clients shall pay for all authorized charges in U.S. funds upon presentation of invoices. All invoices are due and payable within the current month of the date of the invoice.

When the retention requirements have been met, records should be disposed of in a efficient manner. If litigation or audit or government investigation is in progress or pending, then a "HOLD" should be placed on the records. File Keepers offers Certified Destruction/Recycling that requires the signature of authorized personnel.
